What is Archibus SaaS?

Its our 100% Software-as-a-Service IWMS (Integrated Workplace Management System).  Archibus Foundations is the foundation of our platform. All customers start with Foundations and scale up to other advanced solutions such as Space, Maintenance, Asset, Reservations, and Lease.

What is Foundations and what are included with it?

Foundations includes basic space management, a self-service ‘workplace’ interface, service management, equipment management, and asset tracking. Foundations works for customers of any size from SME customers of 50 to 1,000 employees to very large organizations.

Can Foundations be used for office and residential condominium clients?

Absolutely.  It can be your self-service interface for tenants or building occupants for help desk or concierge applications.  The self-service interface can be via mobile or it can be setup with a kiosk.  Contact us for details.

Archibus SaaS or Archibus On-Premise? What are the differences and which one is best for me?

Archibus is one platform with two ways to consume.


The first option, Archibus Enterprise, is the result of more than 35 years of Archibus innovation and is the preferred platform by organizations that require an on-premise deployment.  It has a wide range of options with 8 domains and a personalization layer that is not available with the cloud counterpart.  It has a traditional delivery model (on-premise or partner hosted), an annual release cycle (V24, V25, etc..) and comes with perpetual OR term-based licensing.


Archibus SaaS, released on May 2019, has a SaaS delivery model hosted by Archibus Inc.  It is suited for those that want an off-the-shelf solution that is easy to configure and fast to deploy.  And since Archibus SaaS is 100% subscription-based licensing, the acquisition mode is Opex which is generally preferred to by many over Capex.

Where is Archibus SaaS Hosted?

At Amazon Web Service data centers. Philippine clients will default to the Singapore data center but if you have international users you also have a choice of Australia, Canada, Europe, or United States.  

How is Archibus SaaS Secured?

There is a dedicated 24/7 Cloud Operations team who monitor, maintain and manage all Archibus SaaS environments in line with contracted Service Levels and Information Security Policy.


How is Archibus SaaS Secured?

Archibus Inc. is committed to safe-guarding the customer’s data. It has a dedicated Information Security & Privacy Manager who maintains its Information Security Program. The foundation of this program is its Information Security Policy (ISP) which is aligned with ISO 27001 and covers: operational policies, secure software development, HR security, asset management, information classification and handling, access controls, internal operations & secure service deliver, incident management, business continuity, disaster recovery, network security, penetration testing and physical and environmental security.

Does Archibus SaaS Comply with Privacy Legislation like GDPR and EU-US Privacy

Yes.

Will Customer’s Data be co-mingled in the same database as other Archibus SaaS customers?

No. Archibus SaaS is deliberately “single-tenanted” –every customer gets their own database, meaning one client’s data is never co-mingled with another client’s data. Client’s InfoSec groups prefer this as it provides a higher level of security compared to multi-tenanted systems.

Foundations seem to have a lot of space functionalities already. What is in the Space module then?

That is correct. Foundations would have functionality that deliver basic space management-- i.e Space Inventory and Occupany. But the advanced Space module packs full features functionalities such as: 

  • Space Performance 
  • Space Chargebacks 
  • Move Management 
  • Space Book, and Space & Occupancy mobile apps for android and iOS devices.

Does Archibus SaaS' work with AutoCAD or Revit drawings?

Yes, both are supported.  Archibus SaaS come with the Smart Client Extension for AutoCAD/Revit.  These are plug-ins to your AutoCAD or Revit licenses that will allow you to connect your CAD and BIM models with Archibus SaaS.  Contact us for details.

Does Archibus SaaS have a CMMS equivalent? For planned and corrective maintenance?

Yes. This is part of the Maintenance module. 

What’s in the Maintenance module?

It comes with a Facility Manager home page with industry standard KPIs; a PM Planner, Labor Scheduler, Parts inventory, and Service Level Agreements.  It also comes with Maintenance Mobile App that runs on Android or iOS mobile devices.  See our demo to appreciate the functionality.

I have 100+ technicians and external service providers that may need access to the Maintenance mobile app. What is the subscription fee for that many users like?

The SaaS fees will be based on the Archibus Cloud modules you subscribe to AND your portfolio size, in square meters, that you will declare before you subscribe to the service. That’s it. 


That said, you can have as many Maintenance app users and this will determine your SaaS fees.

There are quite a number of SaaS point solutions in the market (CMMS) that competes with Archibus SaaS Maintenance? What will be the advantage of your solution over theirs?

Unlike Archibus SaaS, those are mere point solutions.  You won't be able to scale and grow to other solutions like Space management, Asset management, Lease, and Reservations which are all available with Archibus SaaS.


Soon we may see Archibus SaaS expanding to other modules such as energy management, environmental sustainability, green building, waste management, compliance management and health and safety; all of which are modules that are already part of the Archibus Enterprise.  Something to think about if you are about to go for a point solution.

What is the Workplace Services module in Archibus SaaS? Isn’t this already part of Foundations?

The module allows for you to:

  • Centralize asset inventory, equipment, furniture, systems, and parts and pieces.  Track assets by location, department, and type to enhance accountability and avoid lost assets. Navigate locations with BIM and GIS. 
  • Track data for each asset to inform all stakeholders of activities, from replacement costs to maintenance history. 
  • Manage assets from acquisition through operations and disposal with consoles for each lifecycle phase. 
  • Integrate with the Maintenance module-- take care of critical assets by scheduling regular maintenance in accordance with specific asset needs.

Can I map the assets on an Esri map such as with the Archibus Enterprise edition?

Yes, absolutely.  That is also part of Archibus SaaS.

What is the Workplace Services module in Archibus SaaS? Isn’t this already part of Foundations?

Foundations will have the basic workplace services such as book a room, find someone, and request for workplace services.  The advanced Workplace Service module will have full featured Reservations and Hoteling.  Also included are Outlook Plugin, Extension for Microsoft Exchange, Outlook-style Calendar, Multi-site and conference-call support, setup/breakdown times, catering, IT support, etc..  Contact us for details.

What is the Reservations module?

Reservations is the part of Archibus SaaS that allows occupants to reserve spaces, book workstations, request services, request moves, browse interactive floor plans, track reservations, scan QR Codes for spaces and assets.  It has advanced features that are not available with Foundations.  Contact us for details. 

We are outside of the Philippines. Can our organization engage you for Archibus SaaS services?

Yes.
